Office Administrator – Internal Operations & Business Support

Gnanomat is looking for a proactive and well-organized Office Administrator to support the day-to-day operations of the company and ensure smooth and efficient internal processes.

This is a fully support-oriented role, essential to maintaining well-structured documentation, effective internal coordination and reliable operational support to both management and technical teams.

The role

As Office Administrator, you will provide operational and administrative support across the organisation, contributing to the efficient running of daily office activities and internal workflows. You will act as a central point of support for documentation management, internal communications and general back-office activities.

Key responsibilities

  • Manage and archive physical and digital documentation.
  • Organize and maintain shared folders and internal file structures.
  • Manage internal emails, communications and documentation workflows.
  • Support interactions with suppliers, courier services, purchasing and orders.
  • Coordinate basic office operations, including supplies, materials and service providers.
  • Prepare and organize documentation for internal meetings and administrative processes.
  • Support the organization of meetings, visits and occasional business travel.
  • Provide general administrative support to management and technical teams.
  • Perform general back-office tasks.

Candidate profile

  • Vocational or technical qualification in Administration, Business Administration or a related field.
  • Previous experience in an administrative or office support role, preferably in a small or medium-sized company and ideally in a technical or engineering environment.
  • High user-level proficiency in standard office software and digital tools.
  • Experience using AI-based tools for document drafting, organization or summarization is considered an asset.
  • Native Spanish.
  • Basic level of English for simple written communications (an advantage, not mandatory).

Working conditions

  • Part-time position (80% workload).
  • Flexible working hours, to be agreed according to company needs and candidate availability.
